SSS contribution payments without a Payment Reference Number (PRN) must have an R3 report submitted for the posting of payments to the respective employee accounts. The submission may be done online thru the SSS Portal or offline using the SSS R3 File Generator.
What is SSS R3 File Generator?
R3 File Generator is a program of SSS developed to assist employers in the preparation of their monthly contribution report.
R3 report, a list of employees with their corresponding contributions must be submitted to SSS for the posting of payment. Employers are required to submit it monthly right after their payment if they are paying without a Payment Reference Number
How to Run the R3 Program
Java Runtime Environment is needed for the R3 program to run so install it first on your pc.
1. Search Java Runtime Download and select the result from java.com.
2. Select the applicable installer for your operating system then download (sample is applicable for Windows)
3. Open your download location and run the file then Install
4. The installation will start.
You will be prompted You have successfully installed Java. Just Close.
How to Download SSS R3 File Generator v2021-1.0
Since the contribution for employed members was updated last January 2021, the bracket is no longer the same thus you will encounter an error "Invalid Amount for SSS Contribution. Amount is out-of-bracket. Correct the error and try again" when you click Add.
To create the R3 report for 2021 you will need the version for 2021. You may get a copy of the R3 File generator from the SSS branch or thru the SSS website download page. But unfortunately, as of posting the program from mentioned sources does not function correctly. The one from the branch lags when clicking the menu while from the sss website it is still for 2019 bracket even if the label is 2021.
If you have also encountered these problems, here is how to get a working R3 Program for 2021.
1. Log in to your SSS Employer account.
2. Go to E-services then Click Submit Contribution Collection List (R3)
3. You will be directed to the Download Page. Click Download R3 File Generator.
How to Install SSS R3 File Generator v2021-1.0
1. Open the downloaded .zip file. Click Extract To and choose where to save. You may use the default location.
6. After extracting, close the window above then open the extracted folder.
7. Open r3filegen.jar then you will see the File Maintenance Employer Record
8. Input your Employer Number and Employer Name then Click update.
9. Set the Applicable Period
10.You can now start encoding your employees by clicking File Maintenance then Employee Record Maintenance. Manually add SSS Number, Last Name, First Name, Middle Initital, SS & EC Amount and applicable remarks: Type 1 if Newly hired and 2 for Separated then input effectivity date; 3 if No Earnings and N for normal employee status.
11. After encoding your employees, Back to Main Menu then Report Generation and Print Employee File. Review details then print for your file copy.
12. After printing Back to Main Menu and proceed to next step.
How to Create SSS Text File for R3 USB transmittal
You will need to submit this file to the SSS branch for the posting of your contribution payments.
1. After encoding all your employees. Insert a flash drive in your pc/laptop
2. Access File Maintenance then Create SSS Text File.
3. Input Applicable Details, refer on your validated payment form.
5. Close then Back to Main Menu then Report Generation then Print Transmittal Certificate
6. Type Name beside Certified Correct and Paid then Print in 2 copies.
7. Submit to SSS branch the text file in flash drive and these 2 documents; 1st doc (validated payment form, transmittal, employee list) and 2nd doc (photocopy of payment form and transmittal). You will get back your flash drive and the stamped (RECEIVED) 1st doc.
